Rotations - Permanent Collection

Curators will create object packages for installation and de-installation lists, and submit PDF checklists to collaborators. Packages should be saved in SHARED package folder “Rotations - Planning”

Packages should be named with the follow standardized format to facilitate access between all collaborators

Department Abbreviations:

LAA: Latin American Modern and Contemporary

ModCon: American, and Modern and Contemporary

Euro: European painting and sculpture, ancient objects

ASA: Art of the Spanish Americas

LAT: Latino (if/when it is not a full exhibition presentation)

These exhibition records are collected in a shared package (Permanent Collection Galleries 2026) for ease of searching and reporting.

• Venue end date: will remain empty until the next rotation venue is added. At that time, add the end date of the previous rotation when adding a new venue.

  • At beginning of each calendar year the works currently on view in a gallery, will be linked to the upcoming year’s exhibition record and included in the first venue

  • Add objects to the exhibition record when new works are installed (new objects are automatically excluded from all venues)

  • Create a new venue and adjust the included and excluded objects as needed

One annual exhibition record was used for all gallery spaces with collection installations. The record management was overwhelming to maintain and include the list of hundreds of works on view each time a rotation occurred.

Legacy exhibition and rotation histories were simple text citations. No exhibition records existed. These citations were transformed to exhibition records at the time of migration, resulting in some miscellaneous “rotations” exhibition records, and inconsistencies with current practice.
