Copy Existing Document Values

 

 


Copy Existing Document Values is a feature available in the Wizard when a new document is created that allows you to populate the fields of a new document based on the properties defined for an existing document. The two options, Current Selection and Browse to Document are detailed below.

Current Selection

Use the Current Selection option if you select a document from the vault (to copy values from) prior to launching the new document Wizard.

 

1.  The Copy Existing Document Values section is located in the upper right corner of the Wizard and is available only when working with a new document ((Archived) Import Record).

2.  Prior to importing a new document (which launches the Wizard), select a document in the vault that has the document properties (e.g. Category, Function, Series, Entity, People To and From, Keywords, etc.) you want to apply to the new document.  In the example on the right, a previous BOR meeting document was selected to copy the document properties for a new BOR meeting document.

Click Current Selection in the Wizard.

3.  You will be prompted to confirm that a single document was selected (and not a folder).  If your selection is correct, click OK.

4.  The fields of the new document will be populated with the property values from the selected document.  Be sure to change any property values that don't apply, especially Master Record, Title, Document Date and review / update the properties on the People and Notes tabs.

When you are satisfied with the property values for the new document, click the Finish button in the Wizard.

 

 


Browse to Document

Use the Browse to Document option if you launch the new document Wizard prior to selecting a document in the vault (to copy values from).

 

1.  The Copy Existing Document Values section is located in the upper right corner of the Wizard and is available only when working with a new document ((Archived) Import Record).

2.  Click the Browse to Document button.  A navigation window will open allowing you to drill down through the category structure to find the document with property values to copy.

Select the appropriate document and click OK.

3.  The fields of the new document will be populated with the property values from the selected document.  Be sure to change any property values that don't apply, especially Master Record, Title, Document Date and review / update the properties on the People and Notes tabs.

When you are satisfied with the property values for the new document, click the Finish button in the Wizard.
