9.2) Publishing Research - Conference

9.2.1 Choosing a Conference

This section provides guidance for submitting to and registering for conferences. The WEG research team generally attends one to two conferences as a group per year. In the past, the entire group has attended ASME IMECE and AAAS Annual Meeting. You should plan to attend other conferences in addition to the group trips in order to disseminate your work broadly. But, just like journals, not all conferences are created equal. Please talk with your peers and review conference schedules in detail in order to determine whether it is worth attending. Provided below is a short list of conferences that have been attended by WEG members. If you are unable to find one that fits your needs, recognize that with a little bit of research you can find a nearly endless list of additional conferences.

9.2.2 Submitting to a Conference

Below are some tips to have the submission process run smoothly. You might have a number of options for submission. The most common is a paper, which will be published in the proceedings. You will also be assigned to a session in order to present your work at the conference. Other submission options might include a presentation only, without a paper. This is beneficial if you want to reserve the paper for a journal publication. Remember, the conference organizer will usually hold the copyright to your paper. Finally, you might submit an abstract for a poster. This option allows you to discuss your work with attendees during designated poster sessions at the conference.

  •  Never submit an abstract without first receiving approval from Dr. Webber. Remember, his name is on it, too.
  •  Be sure to check if there is a minimum and/or maximum word limit for the abstract and paper. Some conferences will not accept abstracts outside of a specified word count threshold.
  •  Be careful about the deadline for submissions. The organizers might only specify a deadline date, but not a time. The portal for submission might close long before the day is over. To be safe, don’t wait until the deadline.
  •  Frequently, conferences will offer deadline extensions. If you miss a deadline, it is worth checking again to see if an extension has been given.
  •  There might be several deadlines to meet as the approval process occurs, including submitting a draft and revising your work.
  •  Early-bird, student registration is encouraged because the cost is reduced. Be sure to note when registration begins and do so as soon as possible.
  •  If a student discount is not listed, it might be available through a discount code if you contact customer service.
  •  Register with the pro-card, give your receipt to Sarah, and ask her to start the RTA process for you as outlined in Section 12.2.
