Quote to Purchase Order

UTMarket

The helpdesk will generate a quote via a UTMarket vendor. Once that is complete, a requisition is assigned to a purchasing team member—either a Moody purchasing team member or the CIP/UNIT/Department member. The purchasing team member will generate a PO and submit it to the vendor. Once the vendor confirms, the team member will inform Tech Receiving of the PO Number and the shipment confirmation once the vendor has communicated that information.

Traditional UT Purchase Order

The helpdesk will request a quote from the vendor; once it is received, it will be sent to a purchasing team member. The purchasing member will generate a PointsPlus requisition and send a PO to the vendor.

When the vendor confirms the purchase order, the local team (purchasing and technology) is informed.

ProCard Purchasing

Products and services (except for computing hardware) can be purchased using a ProCard. The purchasing team or department admins will provide feedback and shipping notices to the requestor. Additional information, such as tax-exempt forms, receipts, and any further documentation the purchasing team might ask about the acquisition, might be needed.

UT Ordering Delays

Delays can be expected as UT purchasing, the Information Security Office, or UT Legal might impose additional requirements based on the items purchased. This is particularly expected when purchasing software or Software as a Service (SaaS) products.
