LASE Group Calendar

  • The LASE group uses a shared calendar to:

    • Keep track of when people are growing

    • Keep track of when maintenance is performed

    • Remind members of regular preventative maintenance

    • When people will be out of lab (e.g. out of town, vacation, hunkered down to write, etc.)

    • Other events, meetings, etc.

Adding Events

  • Adding an event is quite easy. Click on the calendar to add your event.

  • Make sure the event goes on to the LASE calendar.

  • Click on the Edit event button for more options.

  • Adjust the time or make it an all day event to make it show at the top of the Week or Day view.

  • Under month view, all all day events may not show up due to space.

  • Make the event repeat as necessary.

Reminders and Guests

  • Add reminders as necessary. Note that reminders will only go to you, so any guests need to RSVP to the event and add their own reminders.

  • Invite guests as necessary. Invite guests in the order in which you want to send invites. So if you only want to send invites to certain guests, add them first, save the event, send them invites, and then add additional guests.

  • At this point, any further changes to the event will prompt you to send info about changes to the event to guests. I am not sure if you can send to certain guests, or if you must choose between all or none.

  • The LASE mailing list cannot accept invites, so you cannot treat it like a guest. To invite the LASE mailing list to an event, you must share the event. I do not know how to do this straight from Google Calendar, so send an invite to yourself, then forward it to LASE.

  • Most events will not require you to invite others when you create the event, but you will want to let others know they are happening closer to the event. For this, set an email reminder for yourself and then forward the reminder at an appropriate time.

Notes on adding repeating events

  • When adding repeating events, it is a good idea to add the event to the LASE calendar using the lase.ut gmail because:

    • In the future you will depart from the group and if the event has reminders attached it is easier to manage if you are not the event creator (on your personal email).

  • However, in order to be reminded about the event, you will need to add yourself as a guest to the repeating event (assuming you don't check the lase.ut mail often).

  • Invite yourself to the event and add an email reminder for yourself. Forward that reminder as needed.

  • Example:

    • We want to perform routine maintenance every two weeks. Use lase.ut to create the event, and invite yourself to the event. Accept your invite and add an email reminder for yourself. When the reminder arrives to your inbox you can forward as appropriate, or bring up the event at group meeting.
