Pro Card Rules
ProCard Rules
For EVERY single order AND in a timely fashion — Joyce and Gerlinde need:
Order confirmation — Something that tells them that an order has been placed and what to expect.
Invoice/receipt — Something that reflects the price of the item(s).
Account number — Include the specific sub-account to use.
If it goes on an 83 sub (equipment fabrication), then they’ll need the property tag number to associate with it. Remember, any permanent functionality that we add to the MBE counts!!! We need to be diligent about this as the 83 subaccount is not subject to overhead (as it shouldn’t be, since we’re building a piece of equipment out of smaller parts).
Under NO CIRCUMSTANCES can we EVER use the ProCard for:
Buying chemicals (including source material and wafers!)
Transactions over $4500.
Paying through PayPal.
Buying through eBay.
Buying at auction.
Buying alcohol (duh).
Note: Any of the above 6 could get the ProCard taken away from us, which is unacceptable as it would kill the lab.
All of the rules are laid out here: http://www.utexas.edu/admin/purchasing/procard/ I expect all of you learn the ins and outs BEFORE buying something. RTFM.
